Every grower I know has a shoebox, a spiral notebook, or a spreadsheet with a promising January and a blank May. Record keeping fails not because growers are lazy but because most systems ask for data that never gets used. If you write down the soil temperature at transplanting and then never look at it again, your brain correctly classifies that task as busywork and stops doing it. The fix is not more discipline. The fix is tracking fewer things, choosing things that change a decision, and capturing them at the moment they happen instead of at the end of the day when you are covered in mud and out of patience.
What follows is the short list I would defend to any market grower or serious home gardener: five categories of records, what each one buys you, and the specific habits that keep them alive past the spring rush.
Why Most Record Systems Die by June
Three failure modes account for nearly all of it. The first is latency: if the notebook is in the truck and you are in bed 14, the observation evaporates in the 90 seconds it takes to walk over. The second is granularity creep — you start with seeding dates and by March you are logging irrigation minutes per zone, foliar sprays by ounce, and hours of labor per task. That system works beautifully for about five weeks. The third is no feedback loop. Data you never read is a tax you pay on your own time.
The counter-design is simple. Keep the capture surface within arm’s reach at all times, which in practice means your phone. Cap the number of fields to what you can fill in with two thumbs. And schedule two review sessions a year where you actually open the records and let them change your plan — otherwise you are not keeping records, you are keeping a diary.
A record is only worth keeping if you can name the decision it will change. If you cannot name the decision, skip the field.
The Five Records That Pay For Themselves
Here is the core set. Everything else is optional and should be added only when a specific problem demands it.
- Planting log — crop, variety, date seeded or transplanted, location, and quantity. This is the backbone. Without it, nothing else can be attributed to anything.
- Harvest log — date, crop, location, and weight or count. Weight beats count for anything sold by the pound; count is fine for heads of lettuce and bunches of radish.
- Input log — every amendment, fertilizer, and pest control product: what, how much, where, and when. This one is boring and it is also the one that keeps you legal and lets you diagnose problems a year later.
- Observation notes — short, dated, tied to a bed. “Flea beetle heavy on arugula, bed 7” is worth more than three paragraphs written in October from memory.
- Money in and out — seed and supply purchases with receipts, and sales by market channel. Even a rough version beats reconstructing it at tax time.
Notice what is missing: soil temperature, rainfall (your local weather station already logs it), hours worked per task, and germination percentages for every tray. Those are all legitimate things to track — in year three, when you have a specific question they answer. In year one they are ballast.
Capturing Data in Under Five Minutes a Day
The whole system lives or dies on capture friction. Aim for logging at the point of action: you set the tray down, you log the seeding, you move on. Three habits make this realistic.
First, log at transitions, not at the end of the day. Seeding, transplanting, first harvest, and bed flip are natural pause points where 20 seconds costs you nothing. Second, use a consistent location naming scheme and never change it mid-season. “North field, bed 12, section B” is fine; so is “NF-12B.” What kills you is calling it “the beds by the pear tree” in April and “bed 12” in July. Third, weigh harvests once per crop per day rather than per pick. A hanging scale at the wash station and one number per crop is enough resolution to build yield history.

Turning a Season of Notes Into Next Year’s Plan
This is the payoff step and the one most growers skip. Block two hours in late November or December and open your logs with three questions.
What actually yielded? Divide total harvest weight by bed feet for each crop. A 100-foot bed of carrots that produced 180 pounds gives you 1.8 lb/ft — now you can size next year’s planting to demand instead of guessing. Most growers dramatically overplant two or three crops and underplant their best sellers, and only the numbers reveal it.
What did the calendar actually look like? Compare your intended seeding dates to your actual ones. If you planned March 1 for onions and the log says March 19 every year for three years, March 1 is a fantasy — adjust the plan to your real capacity or change what happens in that week.
Where did the same problem happen twice? Two years of “club root in the brassicas, east beds” is a rotation problem, not bad luck. Observation notes tied to beds are what make that pattern visible.
Yield per bed foot is the single most useful number a vegetable grower can compute, and it costs you nothing but a scale and one line per harvest day.
Records That Keep You Legal and Sellable
If you sell anything, the input log stops being optional. Restaurants, co-ops, and any buyer with a food safety program will eventually ask what you applied and when. Organic certification requires a full audit trail of inputs, seed sources, and field histories going back three years. Even without certification, a GAP or Harmonized audit will ask for application records, water test dates, and a documented rotation.
The practical minimum for each application: product name, EPA registration number if it has one, rate, total amount used, location, date, and applicator. Take a photo of the product label once and keep it — it takes five seconds and saves you a scavenger hunt during an audit. Pre-harvest intervals are the other reason this record matters: if you sprayed spinosad with a one-day PHI on Tuesday morning and you harvest Wednesday for Thursday market, you want that documented, not remembered.
On the tax side, receipts for seed, soil, tools, fuel, and market fees are deductible business expenses, and mileage to markets is often the largest single deduction a small farm misses. Photograph receipts the day you get them; thermal paper fades to blank in a hot glovebox within a season.
Bed-Level Profitability: The Math Worth Doing
Once you have a year of planting and harvest data plus rough sales numbers, you can compute crop profitability per bed foot — the number that tells you what to grow more of.
- Revenue per bed foot — total sales of that crop divided by the bed feet you devoted to it.
- Direct costs — seed, transplant supplies, row cover, drip tape amortized across seasons.
- Days of occupancy — how long the crop tied up the bed, from prep to flip.
Revenue per bed foot per day is the sharpest version. Salad mix at $8/lb harvested three times off a 30-day cycle looks very different from winter squash occupying a bed for 110 days, even when the gross dollars are similar. Neither answer is automatically right — squash stores and sells in November when nothing else does — but you should know the number before you commit a third of your ground to it.

A Twelve-Month Rhythm You Can Actually Keep
Records work best on a seasonal cadence rather than as a constant grind.
- Winter — review last year’s logs, compute yield per bed foot, build the crop plan and seed order from real numbers.
- Spring — log every seeding and transplanting as it happens. This is the highest-value logging window and also the busiest, so keep fields minimal.
- Summer — harvest weights and observation notes. Inputs get logged at the moment of application, no exceptions.
- Fall — final harvests, cover crop seeding dates, and a written page of “what I would do differently” while it is still fresh.
If you are reading this mid-season with nothing logged, do not try to reconstruct the spring. Start today with harvest weights only. One number per crop per harvest day, for the rest of the season, gives you enough to build next year’s planting plan — and it is a small enough commitment that you will actually keep it. Add the planting log next spring, the input log when you start selling, and the money side when the operation is big enough that it matters.
Start with the record that answers the question that is currently costing you the most money. For most growers, that is: how much did this bed actually produce?
What Good Records Feel Like
The tell that a system is working is that you start reaching for it to answer questions instead of guessing. When did we plant the second succession of beans last year? What variety was that carrot that held so well? Did we ever get on top of the aphids in the tunnel, and what did we use? A grower with three years of consistent logs answers all three in under a minute, and each answer is worth real money in the form of a planting decision made correctly the first time.
That is the whole argument for record keeping. Not compliance, not tidiness, not the vague virtue of documentation — just the compounding advantage of a farm that remembers what happened. Keep the list short, capture at the point of action, and sit down twice a year to let the numbers argue with your assumptions. Do that for three seasons and you will be farming from evidence instead of from memory, which is the single largest jump in decision quality available to a small grower.
